Privacy Policy
Profound Naturals is a sole trader business based in Australia. This policy covers the Scent Builder at profoundnaturals.online, where you design a bespoke fragrance and request a quote. It is set out in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
1. Information Collected
Personal information is only collected when you actively provide it:
- Formula requests - your name, email address, and the formula you built (the ingredients chosen and their percentages)
- Orders - name, email address, and delivery address
- Any message you include with your request
No accounts are created and no passwords are stored. Payment card details are entered directly into Stripe's secure environment and are never transmitted to or stored by Profound Naturals.
2. Your Formula
A bespoke formula is treated as personal information, because it is tied to you. It is used to prepare your quote, to blend your fragrance if you proceed, and to reproduce it if you reorder later. Formulas are not sold, published, shared, or used in the standard range without your explicit permission.
3. Purpose of Collection
- Preparing and sending your personalised quote
- Blending, packing and dispatching your order
- Order confirmations, production updates and tracking
- Responding to enquiries about your formula
Personal information will not be used for any secondary purpose without consent, unless permitted by law. Requesting a quote does not subscribe you to any mailing list.
4. Disclosure to Third Parties
Personal information is not sold, rented, or shared for marketing purposes. It is disclosed only to the service providers needed to operate this site:
- Stripe - payment processing. Stripe receives order value and billing details to process transactions. Stripe's privacy policy applies to data it holds: stripe.com/privacy
- Australia Post - name and shipping address, solely for delivery
- Email service provider - transactional email delivery (quotes, order confirmations, notifications)
- Website hosting - the site is hosted on Netlify, which may log technical metadata including IP addresses and request timestamps for security and operational purposes
- Google Fonts - typefaces are loaded from Google's servers. Google may log connection metadata. No personal data submitted on this site is shared with Google
No advertising networks, social media pixels, or analytics platforms are used on this site.
5. Cookies & Tracking
This site does not use cookies for tracking, advertising, or analytics. Your in-progress formula is held in your own browser while you build it and is not transmitted anywhere until you submit a request. Stripe may set strictly functional cookies during checkout for fraud detection and session integrity.
6. Data Security
Reasonable technical and organisational measures are in place to protect personal information from misuse, interference, loss, and unauthorised access. These include HTTPS encryption across the entire site, server-side handling of all sensitive operations, and no storage of payment data. No internet transmission can be guaranteed absolutely secure; reasonable efforts are made to protect all information held.
7. Data Retention
Order records are retained for a minimum of five years to meet Australian taxation and business record-keeping obligations. Formulas are retained so you can reorder, and are deleted on request. Quote requests that do not become orders are held for twelve months, then deleted.
8. Access, Correction & Deletion
Under the Australian Privacy Principles, you may request access to personal information held about you, request correction of anything inaccurate, and request deletion where retention is no longer required by law - including deletion of a stored formula. If you believe your privacy has been mishandled, contact hello@profoundnaturals.com.au. All concerns are taken seriously and responded to promptly.
